Healthcare Foodservice Software Survey: The Cost of Workarounds
July 24, 2026Healthcare foodservice leaders don't need another report telling them operations are becoming more complex. They live it every day. Hospital networks across the U.S. still rely on disconnected systems that require manual work to keep information synchronized across locations.
To better understand where healthcare organizations are struggling, Illumia surveyed foodservice leaders about the biggest operational challenges they face today.
Three themes emerged:
Manual workflows consume valuable staff time.
Disconnected systems create costly rework.
Operational complexity makes compliance and consistency harder to maintain.
But the survey also revealed a bit of good news: these aren't people problems, they're infrastructure problems. And infrastructure problems have solutions.
Manual Work Consumes Valuable Time
Survey Finding: 47% would eliminate duplicate data entry first
In the survey, 47% of respondents said the first manual process they would eliminate is entering the same information into multiple systems.
Another 40% said they spend the most time manually pulling data from different platforms to create reports and operational insights.
That's nearly nine out of ten healthcare organizations spending valuable staff time on work that technology should already be handling.
Every duplicate entry creates a new risk for inconsistency. Every manually compiled report delays decision-making. Over time, these small tasks become accepted as part of the job.
But they don't have to be.
Modern healthcare foodservice software should eliminate repetitive administrative work, allowing nutrition and foodservice teams more time to focus on delivering exceptional patient care.
Disconnected Systems Create More Work
Survey Finding: 53% say synchronization errors consume the most time and resources
The results also revealed that 53% of respondents think fixing synchronization errors between systems and locations consumes the most time and resources.
Another 30% pointed to reprinting menus, tickets, or production sheets because information wasn't flowing correctly.
An additional 17% reported manually pushing menu or item updates to every location.
Taken together, the message is clear: disconnected systems create unnecessary work.
Every time information has to be corrected, reprinted, or manually synchronized, healthcare organizations lose valuable time while increasing the potential for errors.
Modern hospital foodservice management depends on connected information that moves seamlessly between nutrition, purchasing, inventory, production, patient meal ordering, and reporting.
Complexity Grows Faster Than Technology
Survey Finding: 70% say maintaining compliance across locations is their greatest operational risk
Also in the survey, 70% of healthcare foodservice leaders said maintaining compliance and accuracy across locations creates the greatest operational risk.
Another 23% cited delivering a consistent experience as hospital networks grow through mergers and acquisitions.
Only 7% identified meeting rising patient and guest expectations as their greatest challenge, suggesting that consistency and compliance are the immediate priority as organizations scale.
As health systems expand, maintaining standardized menus, recipes, nutrition data, and production processes is increasingly difficult when every location operates differently. Modern hospital nutrition software helps create one source of truth across the enterprise, making it easier to maintain consistency, support compliance, and give staff greater confidence in the information they use to make decisions.
The Problem Isn't People
One more finding that stood out is that healthcare foodservice professionals aren't struggling because they lack experience, commitment, or expertise. They're compensating for disconnected technology by creating manual workarounds that keep operations moving. Things like:
Spreadsheets
Sticky notes
Duplicate data entry
Manual reporting
Workarounds aren’t inherently bad. In fact, they can be very effective at solving short-term problems. But workarounds can also be signs of a larger problem, and it’s not inefficient teams. They’re signs that operations have outgrown the technology supporting them.
Ultimately, the answer isn’t asking people to work harder. It’s giving them better tools.
Modernization Starts by Removing Work
Hospitals must modernize because today's operational challenges require connected systems that eliminate unnecessary work, improve visibility, and support consistent care across every facility.
That's why Illumia built NetMenu.
By bringing nutrition, patient meal ordering, purchasing, inventory, hospital menu management, production, and reporting together on one connected platform, NetMenu’s cloud-based platform creates a single source of truth that helps healthcare organizations reduce manual work, improve compliance, support patient outcomes, and implement future-ready technology.
The survey results make it clear that healthcare foodservice leaders already know where they're losing time. The next step is eliminating the technology barriers that created those challenges in the first place.
